Employment offers to final candidates in adjunct searches are contingent upon the successful completion of the University’s national and state background check. Since the adjunct hiring process is handled differently than a full, competitive search, the process to meet this requirement is handled in a manner tailored for this group of employees.
When a Department Chair or other hiring official initiates the Truescreen background check, additional information will be sent to the adjunct candidate providing directions on how to complete the state police check.
Dear Candidate –
All employment offers to final candidates in faculty, administrative faculty, classified, wage, and adjunct searches are contingent upon the successful completion of the University’s national and state background check. As an Adjunct instructor at the University of Mary Washington, your offer of employment is conditional upon the completion of a background check. Failure to initiate your background check in a timely manner may result in the withdrawal of the conditional offer of employment.

You are required to submit a notarized Background Check Authorization. To do so:
- Go to the Background Check Authorization.
- Complete only the fields in the Name section.
- Print – but do not sign – the completed form. The form must be signed in the presence of a notary.
If you are able to visit the UMW Office of Human Resources:
- Bring the unsigned form to UMW’s Recruitment Office.
- A notary will be available.
- We are located in Fairfax House on the UMW campus.
If you are unable to visit the UMW Office of Human Resources:
- Take the unsigned form to a notary. Many banks and courthouses provide notary services.
- Mail the signed, notarized form to UMW:Recruitment Office

Please plan to return the signed, notarized form to the UMW Office of Human Resources within 3 business days. Once the background check is complete, the Department Chair may finalize the hiring process.

The Recruitment Office will move forward with the national check for adjunct candidates upon receipt of the Truescreen request. They will work directly with the candidate to ensure the state police form is completed and submitted for entry.
In the event that an adjunct candidate does not respond to the request for the state police check form or there is any other delay in the paperwork, the Recruitment Office will work with the Department Chair or Provost (as appropriate) to ensure the necessary checks are completed before the adjunct’s contract start date.
