Leave Share

DHRM Policy 4.35 – Leave Sharing http://www.dhrm.virginia.gov/hrpolicy/web/pol4_35.html

See the appropriate section for the appropriate employee category.

Employees may donate leave they have accrued to help other employees who are eligible to receive the leave and who are experiencing Leave Without Pay.

If an employee wants to donate leave or request to use donated leave, s/he should consult the Office of Human Resources.

Classified Employees

Classified employees may donate annual leave to help other employees.  Employees covered by the Traditional Sick Leave policy may request to receive Leave Sharing donations when they are in a Leave Without Pay status because of their own personal illness or injury or because of the illness or injury of a family member for which the employee is using Family and Medical Leave (FMLA). Employees covered by the Virginia Sickness and Disability Program may request to receive Leave Sharing donations only when they are in a Leave Without Pay status because of a family member’s illness or injury for which the employee is using Family and Medical Leave. The University continues to make its contribution to the health care premium for the time covered by FMLA leave.

A/P Faculty

The University operates a leave share for A/P Faculty.  A/P Faculty may donate accumulated sick or annual leave to another A/P Faculty member who is in need of leave to cover an extended absence due to a medical disability condition.

Leave can be donated to an A/P Faculty member who is absent less than six months and who has used all of his/her sick leave.  Once an A/P Faculty member has been absent for six continuous months, s/he is eligible to apply for benefits through short term disability and may no longer receive Leave Share.

The Office of Human Resources administers this procedure.  A/P Faculty will be notified of such needs as they arise.  For more information on the policy, A/P Faculty may contact the Benefits’ Administrator.
