Vendor Policies and Guidelines

The University of Mary Washington highly values its vendors and appreciates the outstanding services they provide to the University. Our goal is to treat our vendors fairly and with respect.

Vendors sometimes seek to express their appreciation for the University’s business, especially during the holiday season. Vendors can best convey their appreciation by continuing to promptly provide high-quality goods and excellent, reliable services at the best possible prices.

The University, as an Agency of the Commonwealth of Virginia, and its employees are subject to the Virginia Comprehensive Conflict of Interests Act as well as the Virginia Public Procurement Act. The University is a member of the National Association of Educational Buyers and endorses and supports its Code of Ethics. One provision of the Code, reads, “decline personal gifts and gratuities.” In keeping with that Code and the Laws of the Commonwealth, and in the spirit of a professional public entity, the employees of the University do not accept gifts of any kind from vendors.

Guidelines for Residence Hall Entry

Photo - campus sceneEffective January 7, 2002, any non-student entering residence halls on University business (faculty, staff, administration, contractor, vendor) will be required to wear an official identification card issued by UMW. The cards will be provided in clear badge holders to be attached to the upper torso of the wearer’s clothing for ease of identification. Lost or stolen identification cards must be immediately reported to the issuing department.

Photo Identification Cards

  • Official photo ID cards for faculty, staff, administration, University partners and students will be available through the EagleOne ID Center, 202 Lee Hall.
  • Card holders for attaching to clothing will be issued by the ID Center with the ID card, or can be obtained from designated department heads.

Department Vendor/Contractor Cards (non-photo ID cards)

  • All vendors/contractors entering residence halls must visibly wear a special ID card. Special non-photo red ID cards will be produced by the EagleOne ID Center.
  • These special vendor/contractor cards will bear the name of the issuing University department (e.g., Facilities Services, Dept of Information Technology, Voice Services) and a sequential number.
  • Department heads will provide approved lists of contractors and vendors to the University Police Office for access to residence halls.
  • ID cards will be issued by the UniversityPolice and will only be issued to those vendors/contractors who are on the pre-approved department list. Cards must be returned to the University Police Office upon completion of work.
  • Vendors/Contractors are responsible for the replacement cost of lost cards.
  • Department heads will advise the number of cards needed for vendors or contractors connected to their departments.
