Strategy ESP

The Strategy EagleNet/SharePoint team – shortened to the Strategy ESP was created to support and represent the Finance department through the larger IT Microsoft Infrastructure Project. Our introduction to you regarding this team involvement was in our first SharePoint Newsletter.

Partnering with the Strategy ESP is the Functional ESP team.  This team will assist in testing and deployment, providing direct support to the Strategy team. For more information on the Functional ESP team, please click here.

Project Goals

Understanding SharePoint is just one of the project goals as defined in the IT Microsoft Infrastructure Project. Our first goal is to understand SharePoint so we can move our files off the Novell shared drives and into our SharePoint department sites. Once we move our files, we’ll need to see how to best use the new tool for operational effeciencies. The project will unfold in phases, communicated to you as we progress. We are currently on Phase 2.

Phase 2 – Comply, Monitor, and Control

As we work together to understand SharePoint and other file sharing options, internal guidelines will be established to help us comply, monitor, and control our data. This phase will require the Leads to work closely with their team, supervisors,and the Associate Vice President for Finance.
The EagleNet SharePoint site, newsletters, and group meetings will continue. The output of this phase will be a Finance SharePoint Data Guide. Supervisors are expected to establsh department procedures to support the use of SharePoint and other data storage areas, as needed.

Phase 1 Accomplishments –

September 15, 2010 – All Finance files were moved off the Novell server into SharePoint.

August – By the end of August everyone should be comfortable working within their department site and should NOT be using the shared Novell drives to store new files or changes to existing files.

July 19, 21, 23 – On these days, from 10AM-noon, there will be Open Lab sessions for SharePoint. Email Vickie Chapman to reserve a 1/2 hour session at Centre Court.

July 12 – By this date, each department should move at least 6 files to their department EagleNet Library. As your comfort level increases, gradually move in more files.

June – Supervisor Working Sessions continue.

May – Supervisor Working Sessions begin.

April – Established Strategy ESP sites and subsites in SharePoint and current website. Defined SharePoint department sites for standard look and feel. SharePoint Introductions to begin for Finance members.

March – Team attended BootCamp training, held by the IT Department. Department Websites created. Began testing SharePoint navigation, permission and methods of file and document uploading.

February – Strategy ESP began work on Tuesday, February 23rd and continues to meet every Tuesday for the forseeable future. Meetings are to test SharePoint functionality and determine best practices, testing, and communication plans. SharePoint Newsletter distribution begins.
