Functional ESP

The purpose of the Functional EagleNet SharePoint site (or ESP) site is to

  • Keep you informed of the ESP Project by outlining project deadlines and past accomplishments,
  • House the information newsletters and EagleNet Training Guides, and
  • Share training dates offered by the ESP Leads.

We are now in Phase 3 of this Project – Documentation of Data Standards

The new data standards guide will be available in the near future. The guide will provide best practices, specific requirements, design guideline, naming conventions, and permissible documents for N drive storage.

 

Phase 2 of this Project is ongoing – Comply, Monitor and Control

This phase of the project focuses not only on managing your EagleNet sites, but on coordinating how we manage our data. The following areas have been identified to help coordinate our file sharing requirements:

Comply – The ESP SharePoint team is writing a SharePoint Standards Guide to document EagleNet site standards and basic file storage/sharing methods. For instance, Finance will use SharePoint (SP) for the majority of storage needs, but it is realized that SP is not the best option for temporary files, Banner reports, and some Financial Aid files. The SP Standards Guide will begin identifying these types of files permissible for the N drive (more information to come on the N drive soon).

Monitor – As with any new tool, careful monitoring needs to take place to realize new effeciencies, opportunities, and processes. Continue to work with the Team Leads to document issues you are having. Make sure your site is organized as it should be, and that your skills are progressing so that you can do your job with minimal interruption.

Control – Your document libraries get long and quite full. SharePoint Filters and Views are great for controlling how data is viewed and stored. Think too, on naming conventions for your files, the best use of permissions on documents, and how libraries can establish permissions for specific groups of people.

Phase 1 Accomplishments –

In past months, we accomplished:

ESP Project Goal Successful   –  All files were moved from the Novell Server into SharePoint by September 15, 2010.

September 7th, 8th, and 9th – SharePoint Open Lab Sessions were open for personal or department assistance.

July – August – Move 6 files into your department EagleNet site. Work with your ESP Leads or attend a SharePoint Open Lab session to learn how to navigate and use files within SharePoint.

June – EagleNet sites ready for departments to add test files.  Supervisors worked with ESP Leads to review specific needs of the department.  ESP site open for all finance dept.

May – SharePoint Information Sessions continue.

April – SharePoint Information Sessions available to departments.  EagleNet Training Guides and Supervisor Guides begin.  ESP group work to standardize dept. sites for graphics, permissions, and content.

March- ESP leads attend Boot Camp SharePoint training. ESP team begins weekly meetings.  Newsletter distribution begins, ESP Websites created.  ESP Team site created in SharePoint.

February – Allyson’s first email announcing the EagleNet SharePoint Project.
