Vehicle Request Policies
State pool vehicles are available on a first-come, first scheduled basis. Student drivers must be at least 18, possess a valid Virginia license and complete a vehicle familiarization program before being allowed to use a state vehicle.
A completed and signed Vehicle Request Form is needed for a pool van. The Vehicle Request Form must be delivered to the department at least 5 working days in advance for scheduling. Requests will only be accepted as follows:
- No earlier than July 1st for vehicle requests in the period August 1st through December 31st.
- No earlier than December 1st for vehicle requests in the period of January 1st through May 15th.
- No earlier than April 1st for vehicle requests in the period of May 16th though July 31st.
Telephone calls to inquire about tentative vehicle availability are accepted, but the vehicle will not be reserved until receipt of a completed request form. Incomplete forms lacking accounting data or designation of drivers will not be processed. Vehicle Request Forms are to be signed, scanned and delivered by email to: vehicles@umw.edu.
Should you need to change the vehicle pickup or return time, please contact Transportation Scheduling at 654-1047 to make sure that this does not conflict with another person or group scheduled to use the vehicle. Cancellations should also be reported as soon as possible to allow for reassignment.
