1. How can I get a copy of my bill?
During each billing cycle, Students and Authorized Payers will receive an email notification letting them know that the online bill is ready to view online. There is a link within the email that will take you directly to the EaglePay login page. To view your bill, follow the steps below.
Note: Students must set up any Authorized Payers prior to bills becoming available online.
STUDENTS:

- Click on Students and enter UMW log-in information
- Click on Statement History
- Click on the Adobe PDF logo on the right side of the page for a more familiar view
AUTHORIZED PAYERS:
- Go to EaglePay
- Click on Authorized Payers and enter log-in information
- Click on Statement History
- Click on the Adobe PDF logo on the right side of the page for a more familiar view
To print a statement, select the statement you wish to print, click on the Adobe PDF logo on the right side of the page, then print.
2. Why didn’t my parents/guardians get a copy of my bill?
Parents, guardians, and others can access copies of your tuition bills only if the Student sets them up as an Authorized Payer. Authorized Payers will receive an automated email notification with their login name informing them that they have been authorized. The student will provide the initial password to the authorized payer, which can be changed later. During each billing cycle, both the Student and Authorized Payers will receive an email that notifies them when the online bill becomes available. Students and Authorized Payers will receive a link within their email that will take them directly into the EaglePay login page. Authorized Payers have an individual access to view and pay on a student’s account.
How a Student can sign up an Authorized Payer:
- Go to https://adminfinance.umw.edu/studentaccounts/eaglepay
- Click on Students and enter UMW log-in information
- Click on Authorize Payer
- Click on Add New
How an Authorized Payer can access EaglePay:
- Go to EaglePay
- Click on Authorized Payers and enter log-in information
3. Do you take credit card payments?
The Cashier’s Office can only accept cash, checks, money orders or EagleOne card payments. EagleOne card payments should only be used for incidental fees. Students will incur a convenience fee if the EagleOne card is used to pay a balance more than $250.
Credit card payments can be made online through EaglePay.
Please note that a service fee of 2.85% is charged for all credit card payments and a credit card payment should not be made for balances less than 50 cents.
4. Are there fees for using your credit card online?
Yes! The fee is currently 2.85% (as of June 2022)
5. Where do I mail my check?
If paying by check; you will want to plan for at least a 7-10 day delay from the time you mail the payment in and when it is applied to the account in order to avoid making a late payment. Paper checks should be made payable to “University of Mary Washington” and mailed to:

You can also drop checks off at the Cashiers Office in the Student Services Center in Lee Hall.
6. When are payments due?
Due dates are posted on the billing statements.
Generally:
- Fall tuition is due in July
- Spring tuition is due in December
- Summer tuition is due in late April
7. What will happen if I can’t pay in full by the due date?
For students who have an outstanding bill after the due date of the bill has passed, a 10% late fee (up to $250) may be placed on their account along with a hold. Late fees will not be assessed on balances covered by authorized Financial Aid. The Financial Aid must be fully processed by UMW’s Financial Aid Office. Late fees will not be assessed on balances covered by Scholarships & Tuition Assistance as long as the Office of Student Accounts receives the appropriate paperwork before the due date on the first bill.
8. How do I set up a payment plan online?
STUDENTS
- Go to EaglePay
- Click on Students and enter UMW log-in information
- Click on Payment Plan on the left side of the screen
- Follow the instructions to enroll
AUTHORIZED PAYERS
- Go to EaglePay

9. My payment plan payment was supposed to come out of my checking account yesterday, but I didn’t have sufficient funds. What will happen?
At this point, there may not be a penalty or hold put on the student account at the University. However, Nelnet/FACTS will reschedule the payment and will send the student a letter notifying them of the NSF & the rescheduled payment date. The responsible party may be charged a fee by Nelnet. You can reach Nelnet Business Solutions at 800-609-8056 to get more info.
10. What are these residence life fines for? (Common Area Trash Removal, Personal Trash Removal, Bathroom Cleaning fees, etc…)
These fees are assessed by the Office of Residence Life. If you have any questions regarding any of the charges or would like more clarification please reference the Residence Life website or contact the Assistant Director of your area via email.
11. I don’t think I should have been charged these residential/housing fees?
Students can appeal these charges through the Office of Residence Life, by following the Appeal Process. Charges cannot be altered or waived over the phone. If the appeal request is approved, the amount will be credited to your account by the Office of Residence Life.
12. I’ve paid into Prepaid529 for my child, and I just got a bill that doesn’t show the payment. What’s going on? Will I be charged a late fee? Will my student get a hold on his/her account?
If you are receiving funds from Prepaid529 for your tuition, there should be a memo at the bottom of your statement showing how much we expect from Prepaid529. If there isn’t a memo, contact our office. We bill Prepaid529 after the last day to add/drop courses which is after the tuition due date. It takes several weeks after that billing for funds to come in and post from Prepaid529. If this semester’s tuition is the only unpaid balance on the account and is completely covered by Prepaid529, your student will not be assessed a late fee and will not have a hold put on his/her account. You must pay the portion of the bill NOT covered by Prepaid529 before the due date on the bill. Don’t forget that Prepaid529 does not cover room and board.
13. I’m currently being charged out of state tuition, but I think I’m eligible for in-state tuition. What do I need to do?
Complete the In-state Tuition Appeal Form and mail it along with any supporting documentation to Virginia In-State Tuition Committee, George Washington Hall, University of Mary Washington, 1301 College Avenue, Fredericksburg, Virginia 22401-5300.
14. I have tuition assistance through my employer (or other), what do I need to do?
Forward all tuition assistance authorization forms to the Office of Student Accounts. If tuition assistance covers your account balance, no payment is required by you as long as the forms are received before the due date on your first billing statement for that semester. If tuition assistance doesn’t cover the balance, you will need to submit payment for the balance not covered by the due date on your tuition statement.
15. Why does the University wait so long to bill my employer/3rd party scholarship?
We have to wait until the end of the add/drop period in order to verify hours before we can bill 3rd parties.
16. Why hasn’t my financial aid posted yet?

17. I had a loan last year that paid for my tuition, it hasn’t paid this year. Why not?
Loans don’t automatically roll forward each year. Please contact the Office of Financial Aid by phone at 540-654-2468, by email at finaid@umw.edu, or visit them in Lee Hall room 206.
18. I paid for my parking decal for the full year, but I won’t be here for the full year. Can I get a refund?
You may be entitled to a partial/pro-rated refund, visit the Parking Management website for more information.
19. I don’t think I should have received this parking ticket. What should I do?
For more information regarding parking ticket appeals, visit the Parking Management website. Visitors and former students need to contact Parking Management in Lee Hall in order to appeal a ticket.
20. Why did I not receive a 100% back from withdrawing for the semester?
There are published dates under Refund Policy/Schedule on Student Accounts that will show you how much tuition will be reversed when you withdraw or drop classes. Use the withdraw/drop date and the appropriate schedule to determine how much the refund should have been.
21. How can I appeal tuition charges?
To appeal your tuition go to Appeals, complete the University Tuition Appeal Form, and mail it, along with any supporting documentation, to University of Mary Washington, Office of Student Accounts, 1301 College Avenue, Fredericksburg, Virginia 22401-5300.

23. My account balance is zero, but there’s a hold on my account. Can you please remove the hold?
The Office of Student Accounts can only remove financial holds. If the hold is a Registrar’s hold, Health Center hold, or other, please contact the appropriate department. If you can’t determine what type of hold is on your account, contact our office by phone at 540-654-1250 or by email at umwbills@umw.edu
24. Can I change my meal plan/my student’s meal plan?
Only Students can change their meal plans. Students who wish to change meal plans must complete a Meal Plan Change Request within the first two weeks of classes. Approved meal plan changes will be effective within 72 hours of the submission.
Note: Meal plans are carried over from the Fall semester to the Spring semester and Meal plans can only be decreased within the first two weeks of classes. After that time period meal plans can only be increased.
25. Can I cancel my meal plan/my student’s meal plan?
Students living on campus CANNOT cancel their meal plan. Residential Students are required to have a meal plan.
Off-campus students can cancel their meal plans within the first two weeks of classes by completing the Meal Plan Change application. The link can be found on the Residence Life Meal Plan page.
Note: Meal fees will be pro-rated based upon the date of cancellation.
26. What is the Mandatory Processing Fee?
It is a fee charged to any student who registers for classes.
27. What are “Comprehensive Fees?”
On billing statements, students are billed for ‘Comprehensive Fee Aux’. The Comprehensive Auxiliary Fee is the portion of tuition that provides funding for student services and activities.
28. I didn’t pay my bill because I decided I didn’t want to take that class. I haven’t been to this class at all. Why am I still getting bills?
Failure to pay your bill DOES NOT serve as a student’s notice of cancellation. Failure to attend the class DOES NOT serve as your notice of withdrawal. You MUST contact the Office of the Registrar in order to withdraw from the University, or take a leave of absence. Also refer to our refund policy and schedule.
29. I’m a non-degree seeking student. When will I get my bill?
Non-degree seeking students must pay their tuition in full when they register. They can pay online in full but may not sign up for a payment plan.
30. I’m a non-degree seeking student? I can’t pay in full right now. Can I get financial aid?
Non-degree seeking students cannot receive financial aid.
31. I received a bill for a meal plan and a residence hall room, but I’m not registered for classes next semester.
Students must inform Residents Life if they aren’t returning in order to avoid being charged for their room and meal plan. The student departing / canceling an on-campus residence (and meal plan) due to leave of absence, transfer, withdraw, etc., need to visit Residence Life and submit a form. Residence Life will then process the request to remove the assignment.
32. I don’t think I should have been charged these housing or Residence Life fees? What are ‘Common Area Trash Removal’, ‘Personal Trash Removal’, or ‘Bathroom Cleaning’ fees? I cleaned my bathroom and took out my trash.
These fees are assessed by the Office of Residence Life. Students can appeal these fees through Residence Life by completing a Damage Appeal form within 30 days of billing. Charges cannot be altered or waived over the phone. If the decision is upheld the charges will remain. If the damage charges are dropped, the amount will be credited to your account.
33. When I vacated my residence hall room, my meal plan was also cancelled. I didn’t want my meal plan cancelled. What happened?
When a student informs Residence Life of their intent to vacate a residence hall room, the Office of Residence Life cancels their residence and their meal plan. Charges for both are prorated if applicable. If the student intends to keep a meal plan, they need to inform Residence Life of their intentions to keep the meal plan.
34. My home address has changed, how do I update it in Banner?
Students will need to complete the Address/Name Change Form in order for BANNER to show their new address. Complete the change of address form on the Registrar’s website and turn it in to the Office of the Registrar. http://academics.umw.edu/registrar/forms/
35. What does my 1098-T show?
1098-T forms report qualifying payments made during the tax year. You can find more information here.
36. I have a hold on my account, can I still view my schedule?
Yes.
A student with a hold can view their schedule by:
1) Signing into myUMW
2) Clicking on Eagle Gateway
3) Then, clicking on View and Print Course Schedule; which is located under the Student Registration Tools section.
37. What is the Action Item preventing me from registering?
During Advance Registration you will notice two new items that you must acknowledge and agree to in order to register. You can find the instructions to complete the action items here.
